Job Summary
Ainad Shriners is seeking a candidate to provide general office administration and support for a variety of activities and tasks, including but not limited to: First point of contact for internal and external parties, data entry, answering incoming calls, maintain membership database, manage financial transactions, respond to email and phone calls, monitoring office supplies and equipment. You will also work closely with the Business Administrator, board members, unit and club officers as well as the general membership.
Full-Time Position – 40 hours weekly to include some Saturdays and evenings
Qualifications and Requirements
• Strong written and verbal communication skills with the ability to produce reports, accept instructions and handle multiple tasks
• Strong time management and organizational skills with the ability to manage challenges and multitask to complete a wide variety of tasks on schedule
• Flexibility to adjust to new tasks as they occur
• Self-starter with the ability to work independently and/or as a team player
• Must possess an outgoing and friendly personality with strong interpersonal skills to interact positively with all employees, members and guests
• Above average computer skills – Microsoft Word, Excel, Outlook, PowerPoint, QuickBooks
• Attention to detail to ensure tasks are completed thoroughly and correctly
• Ability to lift 20 pounds
• High school Diploma (Associates Degree preferred) Essential
Duties and Responsibilities
• Greet members, visitors and answer incoming calls in a prompt and courteous manner
• Assist in the planning and preparation of meetings, conferences and other functions
• Manage, track and record financial transaction details
- Reconcile accounts payable, accounts receivable and budget
- Includes coordinating and submitting payroll, donations, miscellaneous payments and receipts
• Create and manage various databases for the organization’s clubs, units and various events
• Provide administrative support to the Board and Business Administrator as required
• Assist in the maintenance of the membership products, their inventory, brochures and related items
• Maintain membership database on proprietary system including dues payments and exporting
reports as required for the Board, Membership Director and Business Administrator
• Monitor and maintain office equipment as required
• Assist in the ordering, receiving, stocking and distribution of office supplies
• Perform other related duties as required by the Board and/or Business Administrator
